Job Description
PRIMARY RESPONSIBILITIES: • Assists the Food & Beverage Manager in
the day-to-day operation of the hotel as required. Duties also include handling
the calendar and administration assistance for the F & B department. •
Manages communications, draft correspondence and other business memoranda,
creates presentations, proofread, edits and formats business documents,
schedules meetings and coordinates office functions. • Screens telephone calls,
confirms appointments, conducts research, scans and prints publications
and compiles materials. • Arranging and scheduling appointments, organizing
paperwork, handling travel arrangements, ordering office supplies and managing
information access through the use of telephones, mail and electronic messaging.
• Keeps the filing system up-to-date including all retail files. Maintains trace
file and bring forward daily items to act on appropriate tasks. • Supports
the flow of work and dissemination of information within the organization. •
Schedules departmental meetings, takes and distributes minutes,
and arranges/attends sub-committee meetings as required. • Assists and supports
staff events as appropriate, such as leadership meetings, executive retreat,
staff receptions, etc. • Follows up in the implementation of the policies
and procedures of service of food and beverage. • Prepares all necessary
documents for Departmental reports. • Administers personnel action, on leaves,
overtime requests, disciplinary actions and commendation. • Prepares payroll
on a daily basis for departmental staff and prepares the departmental roster
under the Director of Rooms supervision. • Familiarizes with the job description
of all position in F & B service to be able to assist F & B
Manager in monitoring and overseeing the staff performance. • Communicates
openly with the service personnel and keeps them informed of all important
information to assist them in their jobs. • Delegates normal instructions
& meetings and meets visitors who come to the department. • Ensures
the tidiness & cleanliness in the office. • Performs other duties
as assigned by F&B Manager. REPORT LINES & COMMUNICATIONS: •
Reports to the Food & Beverage Manager. • Coordinates with other outlet
heads and Kitchen section heads for F & B operation JOB REQUIREMENT •
Minimum education of Bachelor’s degree in any discipline • Minimum
of 1-2 years in secretarial, administrative experience. Exposure in F&B
operation or hospitality business is desirable • Computer literate and ability
to use other office equipment. • Have good English communication skills both
in written and spoken • Well-organized, detail-oriented and possess pleasant
personality with excellent communication and interpersonal skills
