Job Description

Summary

Responsible
for (1) Asset Management Reports preparation, (2) Tracking of hotel openings
including preparation of opening requirement letters (DAM), (3) Tracking
of hotel renewals and hotels at risk of termination (GAM), (4) due diligence
of Ownership entities and (5) executive support across the APEC region,
to ensure timely reporting, hotel opening operational readiness, and successful
execution of property openings, transitions, and portfolio
initiatives.

Key Responsibilities

1.
Property Openings & Operational Readiness

  • Coordinate
    Opening Requirement Letters and related opening documentation.

  • Collaborate with GDAP, regional and cross-functional teams on milestone
    tracking and handover schedules.
  • Review management agreements
    and assist with working capital calculations.
  • Liaise with Finance
    to confirm TSA fees and other opening-related requirements.
  • Maintain
    opening trackers and ensure timely completion of opening deliverables.

  • Draft, finalize, and distribute Opening Reports.
  • Coordinate opening
    and other necessary notifications with Legal.

2. Asset
Management Reporting

  • Prepare and maintain monthly,
    quarterly, and annual Asset Management and Development reports.
  • Draft,
    finalize and distribute:
    • 18-Month Opening Reports
    • Asset
      Management Reports (Monthly, NPV, Goal List)
    • AMAC preparation,
      including but not limited to Guest Voice/ STR/ financials consolidation
      and subcommittee approval updates.
    • GAM meeting minutes consolidation
      and distribution
    • High-Risk & Opportunities Reports
    • Monthly
      Performance Review and Quarterly Business Review reports

    • Openings-by-quarter updates
  • Consolidate project updates
    and portfolio information from Asset Management teams.
  • Maintain project
    status reports covering active, hold, pipeline, and terminated projects
    in Oasis.
  • Coordinate AMAC, GAM, AVP, and other leadership review
    meetings.

3. Call Coordination & Stakeholder
Management

  • Coordinate pre-kickoff, kickoff, rollout,
    and regular project calls.
  • Schedule and facilitate meetings involving
    Asset Management, Development, Finance, Legal, Operations, Owners and/or hotel
    stakeholders.
  • Prepare agendas, presentations, supporting materials,
    and meeting minutes.
  • Follow up on action items and project
    deliverables.
  • Support implementation activities and follow through
    the agreement execution processes.

4. Owner Due Diligence

  • Work with Asset Managers to conduct Ownership Due
    Diligence and SDN Checks

Key Money Administration

  • Maintain Capital Investment
    and Key Money tracking and reporting.
  • Prepare Key Money Disbursement
    forms for Asset Managers and follow through the Key Money disbursement
    process.

6. Development Portfolio & Compliance
Tracking

  • Maintain and monitor:
    • On-Hold Project
      Lists
    • Renewal Project Lists
    • Termination Lists

    • Subcommittee Tracking Reports
    • Conditional Opening
      List
  • Track room count discrepancies and coordinate issue
    resolution with development teams.

7. Executive Meeting
& Leadership Support

  • Schedule and support executive,
    leadership, and cross-functional meetings.
  • Prepare agendas, discussion
    materials, and post-meeting summaries.
  • Consolidate reports
    and presentations for senior management review.
  • Maintain action
    trackers and ensure timely follow-up on leadership
    requests.

8. Travel & Administrative
Support

  • Coordinate regional travel arrangements for Asset
    Management team, including:
    • Flights
    • Accommodation

    • Ground transportation
    • Owner meeting scheduling (Liaise
      with owners)
  • Liaise with hotels, vendors, and internal
    stakeholders to support travel execution.
  • Process Concur and/or other
    expense claims and reimbursement submissions.
  • Manage general
    administrative support, ad hoc requests, and departmental
    errands.
