POSITION
SUMMARY

Under the supervision of the Events Manager,
the Events Coordinator supports the planning, coordination, and follow-up
of internal and external events. The role serves as the operational liaison
between various departments, the Sales team, and clients to ensure
the successful execution of all planned services. The Events Coordinator ensures
a high standard of guest service and client experience throughout each event
while contributing to its overall operational
success.

SPECIFIC RESPONSIBILITIES
Event Coordination

  • Assist in
    the preparation of event documentation (function sheets, rooming lists,
    schedules, etc.);
  • Enter and manage rooming lists in
    the hotel's systems and ensure all relevant information is kept up
    to date;
  • Ensure meeting rooms, banquet areas, and other
    event spaces are properly prepared in accordance with function sheets and client
    requirements;
  • Inspect event rooms before each function
    and report any discrepancies;
  • Participate in pre-event
    coordination meetings (BEO Meetings) and communicate key information to
    the relevant operational teams;
  • Be present on-site during
    events to coordinate operations and ensure smooth execution;

  • Assist in resolving operational issues in collaboration with
    the relevant departments.

Client Relations
& Communication

  • Act as the operational
    point of contact for clients during their events;
  • Welcome
    clients on-site, monitor the event's progress, and ensure their satisfaction
    throughout;
  • Escalate special requests or areas
    for improvement to the Events Manager;
  • Participate
    in client site inspections and property tours with the Sales team when
    required.

Administrative Follow-up &
Reporting

  • Assist in monitoring guest
    satisfaction indicators and collecting client feedback after events;

  • Collaborate with the Finance department on billing-related matters
    under the supervision of the Events Manager;
  • Contribute
    to maintaining and updating client files and internal
    databases.

Client Relationship
Management

  • Communicate with clients to gather
    feedback regarding their satisfaction and identify opportunities
    for improvement;
  • Report guest complaints or incidents
    to the direct supervisor;
  • Ensure a visible and supportive
    presence for clients throughout their event;
  • Conduct
    post-event follow-up with clients;
  • Review guest feedback
    and satisfaction results with the operational teams;

  • Coordinate and communicate all event details
    with clients.

Human
Resources

  • Establish and maintain open,
    collaborative, and effective working relationships with all team
    members;
  • Use all available training tools to ensure
    the successful onboarding, training, and follow-up of new
    associates;
  • Ensure completion of all mandatory internal
    training and Marriott International virtual training courses;

  • Ensure team members complete all required internal and Marriott
    International virtual training programs;
  • Ensure hotel
    and/or Marriott International standards and procedures are consistently applied,
    and that any disciplinary actions are properly documented and compliant
    with hotel policies, procedures, and internal regulations;

Employee savings scheme (Participation): You are eligible, on a pro rata basis according to your actual time
of presence, for participation. Its purpose is to allow employees to share
in the company’s results.
Value-Sharing
Bonus (PPV) – 13th-Month Salary:
Eligible
associates (employed at the time the agreement is signed) shall be entitled,
on a pro-rata basis according to their period of service, to a payment
equivalent to their gross monthly salary. This agreement is renewed for
an indefinite period, subject to the limits of the applicable legal provisions.
Should the applicable legislation evolve, this bonus shall be maintained,
and its amount shall remain equivalent to the value of a 13th-month
salary.
