The Role
The
Accounts Payable Clerk is responsible for the accurate, timely,
and compliant processing of all accounts payable transactions for Mandarin
Oriental, Makati during the pre‑opening and operational phases. The role
requires high attention to detail, strong internal control discipline, and
a service‑oriented mindset to support internal stakeholders and trusted business
partners, consistent with the expectations of a 5‑star international
luxury hotel.
This position plays a critical role
in establishing robust accounts payable processes, vendor relationships,
and documentation standards during pre‑opening, ensuring readiness for audit,
opening, and steady‑state operations.
Key
Responsibilities:
Accounts Payable
Operations
- Process supplier invoices accurately
and promptly, ensuring appropriate approvals, correct coding, and compliance
with hotel policies, company guidelines, and statutory requirements.
- Match invoices against purchase orders, contracts, and goods received notes,
resolving discrepancies in a timely and professional manner. - Prepare
and process payment runs in accordance with agreed credit terms and cash
management guidelines. - Maintain a well‑organized, auditable filing
system (physical and digital) for all accounts payable documentation.
Pre‑Opening & Systems Setup
- Support the setup
and testing of the accounts payable module within the hotel’s financial system
during pre‑opening. - Assist in vendor onboarding, including
documentation completeness, bank details verification, and compliance
checks. - Contribute to the development, documentation, and refinement
of accounts payable SOPs aligned with Mandarin Oriental brand standards
and internal controls.
Internal Controls &
Compliance
- Ensure strict adherence to internal controls,
segregation of duties, and approval matrices. - Support internal
and external audits by preparing schedules, reconciliations, and supporting
documents as required. - Comply with local statutory requirements, tax
regulations, and company accounting policies.
Stakeholder
& Vendor Relations
- Act as a professional point of contact
for suppliers, addressing inquiries and resolving issues in a courteous
and timely manner. - Collaborate closely with Procurement, Receiving,
and Operating Departments to ensure smooth procure‑to‑pay flow. - Uphold
the hotel’s reputation by ensuring payments are accurate, timely, and handled
with discretion.
General Finance Support
- Assist with month‑end closing activities, including AP aging review,
accruals, and reconciliations. - Perform other finance‑related duties
as assigned in support of a smooth pre‑opening and hotel operation.
Qualifications & Experience
- Diploma
or Bachelor’s Degree in Accounting, Finance, or a related field. - At
least 1–2 years of accounts payable experience, preferably
within a hotel or hospitality environment; exposure to luxury or international
brands is an advantage. - Basic understanding of accounting principles,
procure‑to‑pay processes, and internal controls. - Experience with hotel
accounting systems or ERP platforms is preferred.

- High level of accuracy, attention
to detail, and numerical discipline. - Strong organizational
and time‑management skills, with the ability to manage deadlines in
a fast‑paced, pre‑opening environment. - Professional communication
skills with the ability to interact effectively with internal teams and external

- Proficiency in Microsoft Excel and basic accounting software.
