The Role

The
Receiving Clerk is responsible for inspecting, receiving, and recording all
incoming goods and deliveries to ensure they meet the hotel’s quality, quantity,
and purchase specifications. This role is critical in maintaining inventory
accuracy, preventing losses, and supporting internal control over procurement
and warehouse operations.

Key
Responsibilities

1. Receiving & Inspection of Deliveries

  • Receive all delivered goods from suppliers

  • Verify deliveries against:
    • Purchase Orders (PO)
    • Delivery
      Receipts (DR)
  • Inspect items for:
    • Correct
      quantity
    • Quality standards
    • Damages or discrepancies

  • Reject or report defective or incorrect items

2.

Documentation & Recording

  • Prepare and process
    Receiving Reports (RR)
  • Record all incoming items accurately in:

    • Inventory systems
    • Receiving logbooks
  • Ensure
    proper documentation is complete and signed by authorized personnel

3. Coordination with Departments

  • Work
    closely with:
    • Purchasing Officer (for order details and supplier
      issues)
    • Accounts Payable (for invoice validation)

    • Storekeeper/Cost Controller (for inventory updates)

  • Communicate discrepancies or issues immediately

4. Inventory Handling

  • Ensure proper transfer
    of received goods to:
    • Warehouse / storeroom
    • End-user
      department (for direct issuance)
  • Label and organize items
    according to storage requirements
  • Follow FIFO (First-In, First-Out)
    principles

5. Quality Control (Hotel-Specific)


  • Inspect sensitive items such as:
    • Fresh produce
      (F&B)
    • Meat, seafood, and perishable goods
    • Housekeeping
      supplies
  • Ensure compliance with hotel and food safety
    standards

6. Discrepancy & Issue Reporting


  • Report:
    • Shortages
    • Over-deliveries

    • Damaged goods
  • Prepare discrepancy reports
    and coordinate with Purchasing for resolution

7.

Coordination with Departments

  • Work closely with:

    • Sales & Marketing (contracts, credit approvals)
    • Front Office (guest
      folios and billing)
    • Events/Banquets (event billing and deposits)

  • Address disputes or discrepancies in billing promptly

8. Internal Controls & Compliance


  • Ensure strict compliance with procurement and receiving procedures

  • Maintain independence from Purchasing (segregation of duties)

  • Prevent unauthorized acceptance of goods
  • Support audit requirements
    and documentation

9. Safety & Storage Compliance


  • Ensure proper handling of goods to prevent damage

  • Follow safety guidelines for:
    • Heavy items
    • Hazardous
      materials
  • Maintain cleanliness and order in receiving area

10. Audit Support

  • Assist
    in inventory counts and audits
  • Provide documentation for internal
    and external audit requirements
  • Ensure traceability of all received
    goods

Qualifications & Experience


  • Bachelor’s degree in:
    • Accountancy
    • Finance

    • Business Administration
    • Or related field

  • Knowledge of:
    • Receiving and inventory procedures

  • Basic understanding of:
    • Procurement documents (PO, DR, RR)

  • Attention to detail and accuracy
  • Good coordination
    and communication skills
  • Ability to identify quality issues

  • Basic computer skills (Excel, inventory systems)
