Job Description
Job Purpose The Human Capital Officer supports the day-to-day operations of
the Human Capital (HC) department by ensuring HC processes are carried out
efficiently, maintaining accurate employee records, assisting with recruitment
and onboarding, coordinating employee activities and providing administrative
support while maintaining confidentiality. Key Responsibilities Follow
and support all HC policies, procedures, and departmental processes. Treat all
associates professionally, respectfully and courteously. Communicate HC
procedures clearly to associates at all levels. Attend HC briefings
and departmental meetings.

Handle confidential information with discretion. Communicate effectively
in English and where necessary, the local language. Handle internal and external
HC enquiries. Maintain accurate physical and electronic associates records. Keep
associates profiles updated in the HC system.

Support recruitment by screening candidates, conducting reference checks
and preparing associates documentation. Schedule interviews, meetings and HC
events. Coordinate the onboarding process, ensuring all required documents,
uniforms, ID cards, biometric registration, and welcome materials are ready.
Inform departments in advance of new associates arrivals. Announce new hires
through internal communication channels.

Maintain associates personnel files. Keep HC notice boards updated
with announcements and job vacancies. Coordinate locker inspections
and fumigation with relevant departments. Ensure recognition displays such
as Associate of the Month and Manager of the Quarter are updated. Ensure HC
forms and office stationery are adequately stocked.

Ensure new associates sign the Code of Corporate Conduct. Coordinate interview
schedules with department managers. Organize engagement activities, including
birthday celebrations, new hire presentations, welfare events and CSR
initiatives. Coordinate exit interviews and prepare summaries of feedback.
Manage employee complimentary stay requests and entitlement tracking.

Respond promptly to associates concerns and complaints. Arrange hospital care
packages for employees admitted due to accidents or medical procedures. Perform
any additional duties assigned by management. Language Requirements English
Bahasa Malaysia Proficiency in Mandarin is an advantage to support communication
with Mandarin-speaking associates.
